# transcription.guide

Site grounding for agents without the transcription.guide repository: its seven charter files, unchanged except that headings sit two levels lower and every term id the pinned version defines, in the frontmatter blocks too, is followed by its label from the pinned version. The YAML blocks are therefore for reading, not parsing; the repo files are the source.

### BRAND: transcription.guide

#### Name and entity

- Brand name: transcription.guide
- Publisher: Thomas Prommer (entity id `https://prommer.net/#thomas-prommer`), as recorded in `about.manifest.json`
- Entity home: https://transcription.guide/about/ (not live yet, the site is a noindex scaffold)
- Sister site: dictation.guide, same publisher, separate topics. The two are not cross-linked in navigation.

#### Promise

Every price, plan limit and platform on this site comes from a dated record you can check against the vendor's own page, and no sponsor can buy a position.

#### Personality

The sage. The site knows the facts, shows where each one came from and says plainly when the data does not support a winner. It is calm about vendors, which means it neither sells nor attacks. The everyman streak keeps the language plain: a student with a lecture recording should follow it as easily as a developer.

#### Visual pointers

- Direction: `design/DIRECTION.md`, a hybrid of data-desk and studio-console picked by Tom 2026-10-01.
- Tokens: `design/tokens.json` (DTCG 2025.10, locked 2026-10-01). Design rules: `design/DESIGN.md`. Also `~/opt/websites-lib/DESIGN_SYSTEM.md`.
- Reference render: `design/pocs/locked-hybrid/`.

#### Do / Don't

Do:
- Put the answer, the price and the verdict in the first paragraph.
- Tag every table row with its commercial relationship.
- Show the last-verified date and the vendor source link next to each figure.
- Say "we do not know" when a record is missing.
- Link to the sister site only where the rules in `AGENTS.md` allow it.

Don't:
- Present a vendor's accuracy or speed claim as ours.
- Write commission copy for a program that is not verified.
- Rank by who pays.
- Review medical, legal or court transcription.
- Cover dictation tools that dictation.guide owns.

register: charter:voice-register-consumer (consumer)
person: charter:voice-person-first-plural (first person plural)
languages: [en]
addresses: [note-taker-shopper, recorder-user, hardware-shopper, api-developer]
essence: "A calm comparison desk: the price, the limit, the date we checked it, and no pitch."
```
### VOICE: transcription.guide (transcription.guide)
> Loaded by /humanizer (Step 0) and the content publishing gate (drafting Step 1 + humanizer Step 3). If absent, both fall back to generic mode.
#### 1. Identity & Register
- Voice owner / who speaks: the site, first-person plural ("we"), under the publisher Thomas Prommer. Byline decision is open (CHARTER-QUESTIONS.md).
- Register: product
- Language/locale: en
- One-line essence: "A calm comparison desk: the price, the limit, the date we checked it, and no pitch."
#### 2. Audience
- Primary audience: mixed (students and interviewers, note-taker shoppers, hardware shoppers, developers in the later wave)
- Reader's job-to-be-done: pick a transcription tool or recorder and know what it will cost after the free tier ends.
- Assume they know what a recording and a transcript are. Always explain what a plan limit means in practice (minutes, per-file cap, export lock) and what "processing" means (on device or in the cloud).
#### 3. Tone Axes
- Formal   ──────●─  Casual   (plain, a little casual)
- Authority ───●────  Peer    (checked facts, said like a peer)
- Serious  ───●────  Playful  (dry, rare wit)
- Concise  ●───────  Expansive
- Default editorial_track: factual
#### 4. Person, POV & Cadence
- Person: first-plural (we) for what we checked and decided, second (you) for what the reader should do. No "I" until a named author exists.
- Sentence rhythm: short and declarative, one idea each. Numbers and dates in the sentence, not after it.
- Paragraph length: 2 to 4 sentences. The first paragraph on a page is the answer: price, verdict, who it is for.
- Keep: a "last verified" line, tables for anything with more than two fields, a verdict per use. Avoid: a single overall winner when the data does not give one, scoring out of ten, countdowns and "ultimate guide" framing.
#### 5. Lexicon
- Preferred terms: transcript, recording, plan, free tier, per-file cap, export, speaker labels, cost per hour of audio, last verified, sponsored.
- Banned phrases (beyond the humanizer's generic list): "game-changer", "supercharge", "unlock", "revolutionize", "best-in-class", "seamless", "must-have", "our top pick" (use "the one we would pick for X"), "AI-powered" as a selling word.
- Capitalization & spelling rules: Otter.ai on first use then Otter. Fireflies.ai then Fireflies. Granola, Fathom, Plaud, Read AI, tl;dv (lower case), Deepgram, AssemblyAI, Whisper. "Note taker" as two words. US spelling. "Sponsored" is the label, never "Featured" or "Partner".
- Domain-jargon level: low. Define word error rate and diarization in one clause the first time. Developer pages may use API terms without a gloss.
#### 6. E-E-A-T / Experience Claims  (anchors gate Step 7)
- Authentic experience this voice can claim: none. No first-person use or test claim. The unsourced claims c4 and c5 were removed from BRAND.md on 2026-10-03.
- Named author + bio source: no personal byline. The site names Thomas Prommer as publisher (footer in `src/layouts/Layout.astro`, `src/pages/about.astro`; publisher URL https://prommer.net/). No named reviewer.
- Quantified credential for bios: none.
- Citation posture: cite the vendor's own pricing or terms page for every price, with the date read. Cite primary sources for anything else. Never cite an aggregator for a price. Say "we did not test this" when we did not.
- Original-data hooks this voice owns: the dated tools dataset (`tools.json`), cost per hour of audio, the transcript-accuracy self-test results once real runs exist, and the public corrections log. No test result may appear before we have run it.
- "What I got wrong" angle: none recorded. Use one only after a logged test produces it.
#### 7. Gold-Standard Examples  (few-shot anchor, highest leverage)
Written fresh for this voice. No published pages exist yet. Replace both with real published paragraphs once pages ship.
- Example A (draft for /otter-ai-pricing/): "Otter's free plan gives you 300 minutes a month, with a 30-minute cap on each conversation. The paid plans lift both limits and add more import and export options. If you record hour-long lectures, the per-conversation cap is the limit you will hit first, not the monthly total. Prices below were read from Otter's pricing page on the date shown, and we earn no commission on this page."
  - Why on-voice: answer first, the limit that matters stated in plain terms, a source and a date, the commercial relationship said once. (The figures are placeholders to be replaced from the dataset before publishing.)
- Example B (draft for /granola-vs-otter/): "These two do different jobs. Otter records and transcribes a meeting and keeps the transcript. Granola works from your own notes and uses the audio to fill in what you missed. For interviews where the transcript is the deliverable, Otter fits better. For meetings where you only need a clean summary, Granola does. We do not name one winner, because the table does not support one."
  - Why on-voice: short sentences, a verdict by use, an honest refusal to pick an overall winner.
#### 8. Anti-References  (do NOT sound like)
- Vendor-written "best of" pages that rank the vendor first.
- Affiliate listicles with a countdown, a star score on every row and "our top pick" in bold.
- Generic AI blog filler: "In today's fast-paced world", "whether you're a student or a professional".
- Speech-coach and productivity-guru tone: hype, urgency and promises of saved hours.
- Lab-report tone that implies we benchmarked something we did not.
### STRATEGY: transcription.guide
#### Mission
We help people who record meetings, lectures and interviews pick the transcription tool that turns audio into usable text without overpaying.
#### Positioning
Primary axis is authority and depth, which here means independence backed by data. Pages render from one dated dataset, so depth does not cost editorial hours per page, and a dated dataset with no product of our own behind it is what a vendor-written comparison cannot offer (vendors also date and source prices, see Competitors). The secondary axis is price position: cost per hour of audio is the figure we put first.
We concede speed to news, the head term "transcription" and the tool-vendor cluster around "transcribe audio to text", lab-grade accuracy claims, and any brand query where the vendor or an app store holds the top slots. We aim at positions 3 to 6 on vendor-owned queries and lead with queries whose results are open (alternatives, versus, reviews).
#### Audiences
The recorder-and-transcribe user wants text from an interview, lecture or voice memo and pays little or nothing. They search "transcription audio to text free" and need a tool that works, a clear free-tier limit and an export that is not locked.
The AI note-taker shopper is about to pay for Otter, Fathom, Granola, Fireflies or Plaud. They need current plan prices, what each tier removes and a verdict by use (interviews, Zoom meetings, lectures).
The hardware shopper compares voice recorders with transcription built in. They need price, subscription cost after the first year and what the device cannot do offline.
The developer picking a speech API compares Deepgram, AssemblyAI, Whisper and Google STT. They need price per hour of audio, latency and limits. This audience waits for the second launch wave.
#### Competitors
From `docs/competitive-landscape.md` (8 head queries, 2026-10-03), every claim sourced there:
- Vendor-written comparisons hold most results on the open queries: Fellow ranks itself first of 15 Otter alternatives, Plaud ranks its own recorder first, and Convo publishes dated, sourced Otter pricing while selling a rival. Notta, Jamie, tl;dv, Granola, Pocket and Sonix publish the same kind of page.
- Independent reviewers with page-level affiliate disclosure: Market Correct (months of hands-on use, dated re-tests), Zack Proser (practitioner, Granola vs Otter) and The Business Dive (claims 20+ tools tested).
- Publisher and aggregator roundups: Zapier (tested, priced, no relationship disclosure seen) and G2 (not read).
- Tool vendors hold "audio transcription"; stores (Amazon, Walmart, App Store) hold "voice recorder with transcription".
Dated, sourced prices alone are not the gap, since Convo already publishes them. The gap is that combination without a product of our own, a relationship tag in every row and a public corrections log. The independents lead on hands-on use, where we have no dated reads yet.
#### What we will not do
- Text-to-speech, voice cloning and AI voice generators.
- Companion voice AI and assistant voice-mode explainers.
- Medical scribe and medical transcription software.
- Legal and court transcription services.
- Dictation-skill coaching beyond a small `/learn/` section. The curriculum belongs to dictation.guide.
- Accuracy benchmarks we have not run ourselves.
- Selling or reviewing transcription services as a reseller.
- Pages that are only a render of the dataset table.
- Commission copy for a program that is not verified.
#### Bets for the horizon
1. Open-SERP comparison pages first. Launch with ten pages and lead with alternatives, versus and review queries where the result is open, then add pages at two a month until the scale trigger. Moves `gsc_clicks` and `pageview_recorded`.
2. Independence as the reason to link and return. Publish the sponsorship rules, row tags, `/methodology/` and a public corrections log, so the claim can be checked. Moves `content_engaged`.
3. One free tool that earns a return visit. The transcript-accuracy self-test (paste a reference and an engine's output, get a word-error score) feeds the newsletter. Moves `newsletter_subscribed`.
### AUDIENCE: transcription.guide
#### The AI note-taker shopper
About to pay for Otter, Fathom, Granola, Fireflies or Plaud. Needs current plan prices, what each tier removes and a verdict by use (interviews, Zoom meetings, lectures). This is the primary segment, and the drafted content shows it: 4 of the 6 content pages in the repo serve it (`docs/content-inventory.md`). The launch leads with alternatives, versus and review queries where the search results are still open.
#### The recorder-and-transcribe user
Wants text from an interview, lecture or voice memo and pays little or nothing. Needs a tool that works, a clear free-tier limit and an export that is not locked. Secondary: the head queries for this group are held by tool vendors, so the site serves it through free-tool roundups and the accuracy self-test rather than by contesting those results. In the repo today it has the hub and both tools and no ranking page (`docs/content-inventory.md`).
#### The hardware shopper
Compares voice recorders with transcription built in. Needs price, subscription cost after the first year and what the device cannot do offline. Secondary: retail pages hold the biggest recorder query, so hardware pages follow the first wave. One page is drafted, `/plaud-vs-pocket/` (`docs/content-inventory.md`).
#### The developer picking a speech API
Compares Deepgram, AssemblyAI, Whisper and Google STT on price per hour of audio, latency and limits. Watch: this audience waits for the second launch wave. No page is drafted; the dataset holds three API records (`docs/content-inventory.md`).
#### Excluded audiences
- People looking for text-to-speech, voice cloning or AI voice generators.
- Readers of companion voice AI and assistant voice-mode explainers.
- Buyers of medical scribe and medical transcription software.
- Buyers of legal and court transcription services.
- Learners who want dictation-skill coaching beyond the small `/learn/` section. That curriculum belongs to dictation.guide.
- Buyers looking for a transcription reseller. The site does not sell or review services as a reseller.
### MONETIZATION: transcription.guide
#### Revenue model
Three mechanisms, none live. Display ads from about month 3 on an entry network. A labelled sponsored card sold per month, the swing line in the launch strategy: the high case rests on it and the low case has none. Affiliate commissions from vendor programs, none of which is verified, so they count as zero until the vendor confirms in writing with a date and a source URL. Amazon Associates covers hardware pages and needs a live public site. Every figure in the source is a guess and nothing here is measured.
#### Disclosure rules
- Every row of every comparison table carries a commercial-relationship tag: "We earn a commission", "Sponsor" or "No commercial relationship".
- Rankings come from the dataset's published criteria. A sponsor cannot change a score or a position.
- The sponsored unit is a card labelled "Sponsored", placed outside the ranked table. A vendor-supplied fact sheet is labelled "Vendor-supplied, not verified by us" and shows our dataset value beside each claim.
- No vendor is monetised twice on one page. A vendor holding the sponsored card has its affiliate link removed from that page's table.
- A sponsor cannot buy removal of a competitor, a changed verdict or the removal of an accurate negative data point.
- Factual errors flagged by any vendor, with a source URL, are answered within 10 business days and logged on a public corrections list.
- No commission copy on a page until the vendor's program is verified.
#### Not monetised
- The tools (accuracy self-test, mic check) are lead capture for the newsletter, not revenue.
- Hub and head guides carry display ads only.
- Advertiser CPCs seen in the keyword data are vendor bids on those queries, not site revenue.
#### Sponsored card
Sold as a labelled card outside the ranked table, never as rank. The price is a guess with no comparables found. No sponsor is signed.
#### Display ads, entry network
Entry network of the AdSense or Ezoic class from about month 3. Premium networks are not expected inside year one at the planned traffic. Thresholds need verifying before applying.
#### Otter.ai affiliate program
Assumed to have a program, on a second-hand statement in the affiliate doc (risk R15) with no source URL and no terms. A search on 2026-10-03 found only third-party directories, no otter.ai program page (`docs/competitive-landscape.md`). The application goes in before dictation.guide launches. No commission copy until confirmed in writing with a date and a source URL.
#### Fireflies.ai affiliate program
A program exists: Fireflies' own partnership page offers affiliates "commission on new customers you bring in" (https://fireflies.ai/partnership, read 2026-10-03). The page states no terms. The application goes in before dictation.guide launches. No commission copy until confirmed in writing with a date and a source URL.
#### Plaud affiliate program
A program exists: Plaud's own affiliate page pays commission on completed purchases, monthly via Impact (https://partner.plaud.ai/pages/plaud-affiliate-program, read 2026-10-03). The page states no rate or cookie length. The application goes in before dictation.guide launches. No commission copy until confirmed in writing with a date and a source URL.
#### Fathom affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### Granola affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### Read AI affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### tl;dv affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### Jamie affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### Tactiq affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### Notta affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### Sonix affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### Descript affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### Riverside affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### Deepgram affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### AssemblyAI affiliate program
Not checked. No commission copy until the program is confirmed in writing with a date and a source URL.
#### Amazon Associates, hardware pages
Needs a live public site, so the application goes in on the launch day of whichever site goes first. Amazon closes the account without qualifying sales within 180 days of approval, so hardware pages are built after approval and count zero until then.
### KPI: transcription.guide
#### Why these metrics
- `pageview_recorded` is the primary. This is an editorial site run on readers, so the number of pages read is the plainest measure of whether the comparisons are found.
- `gsc_clicks` and `gsc_impressions` show demand before it turns into visits. Impressions on the first ten pages also gate the scale trigger in the shared strategy.
- `avg_position` is read site-wide and again for buyer-intent pages, the same way dictation.guide reads it.
- `content_engaged` fires after 30 seconds in the foreground with 50% scroll, or on any tool start, and tells us whether a visit was a read.
- `newsletter_subscribed` measures the return-visit bet and the accuracy self-test.
- `affiliate_clicked` counts only for vendors whose program is verified. Until then it is expected to be zero and carries no weight.
- `crawl_errors` must not rise while traffic grows.
- `pages_indexed` guards against publishing faster than Google accepts pages.
Tool events (`tool_started`, `tool_completed`, `result_shared`) are in the strategy file but are not in the kpi-mgmt catalog yet, so they are not listed here. See CHARTER-QUESTIONS.md.
#### Reading guide
Read `pageview_recorded` against the target in kpi-mgmt, never against another site. Pageviews should sit at or above clicks. If clicks rise and `content_engaged` does not, the pages are matching queries without answering them. If `pageview_recorded` rises while `crawl_errors` or the share of pages not indexed also rises, treat the growth as suspect until the guardrails recover. Report organic clicks split by page type (branded, roundup, how-to, tool, other) so one vendor query cannot hide a weak site.
#### Review cadence
Weekly glance at the primary and guardrails. Monthly review of all keys and the dataset's last-verified dates. A full review at day 90 after launch, replacing the proposed ranges with measured data. Targets are set in kpi-mgmt, not in this file.
